Cloister supplemental terms
Last updated: October 14, 2026
These terms add to the Sanctum Terms of Service (https://sanctum.company/terms) when you use Cloister. Words defined there mean the same here.
1. Recording and transcribing meetings
Cloister can record and transcribe meetings you take part in. You are responsible for giving the notices and getting the consents the law requires from everyone in the meeting.
- Some US states require the consent of everyone in a conversation before it is recorded, including California, Florida, Illinois, Maryland, Massachusetts, Pennsylvania and Washington. Canadian federal and provincial laws may also require notice or consent. The rules depend on where each person is, not only where you are.
- Tell people at the start that Cloister is recording and transcribing, and stop if anyone who is entitled to object does.
- Follow your employer’s and any other organization’s rules about recording.
- Don’t record a meeting you aren’t part of.
Cloister’s transcript, speaker labels and summaries contain other people’s words and names. Use them only for your own work and only as the law allows.
2. You send every message
Cloister writes drafts. Drafts go to the Drafts folder of your own mail account, where you read, edit and send them yourself from your mail app. Nothing leaves your account as a message unless you send it. You are responsible for every message you send, including any draft you send unchanged.
When you approve an action such as archiving a message or a rule that archives mail from a sender, Cloister carries it out in your mail account. You can undo it as the app shows.
3. Teams
Cloister reads Microsoft Teams chats and channels you can see, with read-only access. You reply in Teams yourself.
4. Your mail and calendar providers
When you connect Microsoft (Outlook, Teams, calendar) or Google (Gmail, Google Calendar), you also remain bound by that provider’s terms, and your organization’s policies if it is a work account. If your provider or organization limits or removes Cloister’s access, features that rely on it stop working. Gmail access may be limited to a set number of accounts. If it is, we tell you before you subscribe.
5. Google user data
The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements. In particular:
- we use your Google data only to provide and improve the Cloister features you use;
- we don’t use it for advertising, and we don’t sell it;
- we never use it to create, train or improve AI or machine-learning models, and Anthropic and OpenAI may not use it to train theirs; and
- no person at Sanctum reads it without your affirmative agreement, except where needed for security, to investigate abuse, or to comply with the law.
The Privacy Policy (https://sanctum.company/privacy) explains how Cloister accesses, uses, stores and shares Google user data.
